Email Teachers

Send your teaching team a weekly prep email with lesson details, activities, and a personal note — all from your dashboard, in a couple of clicks.

Go to Tools → Email Teachers in the navigation menu.

When to Use It

The teacher email is designed for lesson-based outreach — keeping your team informed about what they're teaching this week. Send it early in the week of your service so teachers have time to prepare. It automatically includes content from this week's scheduled lesson, so there's no copy-pasting required.

For general announcements (not lesson-specific), consider using a regular email client. For messaging parents, see Email Parents.

Choosing What to Include

The email automatically pulls content from this week's scheduled lesson. You choose which sections to include by checking the boxes:

  • Lesson Prep — Scripture reading, story summary, and supplies needed. If you've left a note for your teachers on this lesson, it's included right below the story summary, just like it appears on the lesson page.
  • Lesson — Warm-up, story instructions, comprehension questions, faith questions, and memory verse
  • Reinforcement Activity Options — The reinforcement activities, laid out as cards that mirror what your teachers see online (age group, scripture tie-in, supplies, instructions, and any example links)
  • Video Options — Each video for the lesson with a clickable link, title, and description

All sections are checked by default. Uncheck any section you'd rather leave out.

Sending All or Only What You've Selected

The Reinforcement Activity Options and Video Options sections each have a toggle so you can decide how much to send:

  • Only the ones you've selected — sends just the activities you've marked to print and the video(s) you've chosen for your teachers on the lesson page.
  • All — sends every reinforcement activity and every video for the lesson.

If your ministry has leader selection turned on, both toggles default to only the ones you've selected — so teachers receive exactly the activities and video you've curated. Otherwise they default to all. In the email, any video you've chosen for your teachers is flagged with a ★ Recommended video label.

Selecting Recipients

All the teachers in your ministry are listed as checkboxes. If your ministry uses multiple services, teachers in your current service are listed first, followed by everyone else.

Use Select All / Select None to quickly check or clear everyone. You can also check the Send a copy to yourself option at the bottom of the list.

If a teacher's email address has bounced or been marked as spam in the past, it's flagged with a bounced label. These addresses are skipped automatically — even Select All leaves them unchecked — so your email doesn't keep going to a dead address. Fix the address in Manage Users and the flag clears once mail is delivering again.

Importing from Planning Center

If your church uses Planning Center Services, you can import the team scheduled for a specific plan directly into the recipient list. Click the Import from Planning Center button, select your service type and plan, choose the team members, and click Import.

Imported people are added as checked recipients. If their email already exists in your TUTB teacher list, the existing checkbox is checked instead of creating a duplicate.

Adding a Personal Message

The What would you like to say? box at the bottom lets you add a personal note that appears at the top of the email — a quick encouragement, a reminder, or context for this week's lesson. This is optional.

Previewing and Sending

Click Preview to see exactly what your teachers will receive before it goes out — the preview opens in a new tab. When you're happy with it, click Send Email.

Each recipient receives their own individual email (not a group message), so replies go only to you.

After sending, you'll see a confirmation telling you exactly how many teachers the email went to. If any bounced addresses were skipped, that's noted too — with a link to fix them.

If this week's lesson has already been emailed to your team, the page shows a reminder at the top — "This lesson was already emailed to your teachers on…" — so two leaders don't accidentally send the same lesson twice. It's just a heads-up; you can still send again if you mean to.
